The Naturally Curious operates as a sole trader. This means Chantelle Manz, the sole proprietor, independently owns and manages the business. As a sole trader, Chantelle Manz is responsible for all aspects of the business, ensuring that your privacy and data protection are upheld to the highest standards.
Occasionally, The Naturally Curious collaborates with other individuals and trusted partners in our business, all of whom are dedicated to safeguarding your privacy.
Analytics
This website uses analytics to help us understand how visitors interact with our platform and to improve our website and services. The information we gather may include:
browser, network and device information;
referral information, such as the web page you visited before arriving at our website;
IP address;
pages visited;
clicks and internal links;
scrolling and searches;
and the date and time of your interactions.
We share this information with Squarespace, our website hosting and analytics provider, to help us understand site traffic and user activity and to support the running and improvement of our website. We will only use analytics cookies or similar technologies in accordance with applicable cookie rules. Where consent is required, analytics will only operate after you have opted in. You can change or withdraw your choices through the cookie settings on our website. Squarespace may analyse information in a de-personalised form. However, information that could still reasonably be linked to you will continue to be treated as personal information.

Information we collect
Depending on how you interact with us, we may collect:

risk-waiver and participation confirmations;
health and wellbeing information that you choose to provide before an event;
and website, cookie and analytics information.
We only ask for information that is relevant to the purpose for which it is collected.
How we use your information

manage bookings, tickets and payments;
deliver our retreats, events and experiences;
consider relevant safety, access and wellbeing needs;
send practical information about a booking;
send marketing emails where you have consented;
collect feedback and testimonials;
improve our website, services, physical site adjustments and events;

and deal with complaints or legal and regulatory responsibilities.
Our lawful basis will usually be that processing is necessary to provide a service you have booked, to meet a legal obligation, because you have given consent, or because we have a legitimate interest in running and improving our business.
Microsoft Forms
We use Microsoft Forms within our Microsoft 365 environment for:
pre-event health and wellbeing information;
risk waivers and participation confirmations;
surveys and feedback;
testimonials and reviews;
and other information relevant to planning, delivering and improving our events.
The information collected will depend on the form you complete. We will explain the purpose of each form when we collect your information and will only ask for information that is relevant and necessary. Form responses may be stored within Microsoft 365 and may be transferred into a restricted-access Microsoft 365 spreadsheet where this helps us read, manage or review the responses. Access is limited to The Naturally Curious and, where necessary, trusted people directly involved in delivering or supporting the relevant event.
Health and wellbeing information
Some information about physical or mental health, mobility, medication, injuries or medical conditions may be special category data under the UK GDPR. Where you choose to provide this information, we use it only to consider your safe participation, plan appropriate routes or activities, and provide relevant support during the event. We rely on your consent under Article 6 and your explicit consent under Article 9 of the UK GDPR. Providing this information is voluntary. However, if you do not provide information that is necessary for us to consider your safe participation, we may not be able to provide the event or make requested adjustments. You can withdraw your consent at any time by contacting hello@thenaturallycurious.co.uk. Withdrawing consent will not affect processing that took place before you withdrew it. It may mean that we cannot safely provide a future event or make requested adjustments.
With separate optional explicit consent, we may review broad, anonymous patterns and trends at the end of the year to help improve future events and wellbeing experiences. We will not use this information to identify you, make decisions about you or send marketing. Identifiable health information will normally be deleted within 12 months after the relevant event, unless it is needed for an incident, complaint, insurance matter or legal claim. We may retain genuinely anonymous summary information after this point.
Health information is collected and stored within Microsoft 365. Access is restricted to people who need the information for the relevant event or purpose. Health information requires both a lawful basis under Article 6 and a separate special-category condition under Article 9. Explicit consent is one recognised Article 9 condition, provided it is specific, affirmative and capable of being withdrawn.
Testimonials and reviews
We may invite you to provide feedback, a testimonial or a review about your experience with The Naturally Curious. We will only publish a testimonial with your permission. You can choose whether your testimonial is: anonymous; attributed to your first name; or attributed to your full name. If a testimonial includes health or wellbeing information, we will ask for separate explicit consent before publishing it. You can withdraw your permission for future use of your testimonial by contacting hello@thenaturallycurious.co.uk.
Bookings and payments
We use Ticket Tailor to manage event listings, ticket sales and bookings. We use Xero to manage payment records, accounting and financial administration. These providers may process relevant personal information on our behalf. We do not receive or store your full payment-card details unless this is specifically stated at the point of payment. Our lawful basis for using booking and payment information is usually that it is necessary to provide the service you have booked or to meet our legal and accounting obligations. Marketing emails
If you have provided your email address as part of our newsletter sign-up form, we may occasionally send you marketing emails about The Naturally Curious, our retreats, events and related offerings. You can unsubscribe at any time by clicking the unsubscribe link at the bottom of one of our emails. You can also contact hello@thenaturallycurious.co.uk and ask us to remove you from our mailing list. Your contact information is shared with Squarespace, our email marketing provider, solely for the purpose of sending these emails on our behalf.
Who we share your information with
Where necessary, we may share personal information with:
Squarespace, for website hosting, forms, analytics and email marketing;
Microsoft 365, for forms, email, storage and spreadsheets;
Ticket Tailor, for ticketing and booking administration;
Xero, for accounting and payment records;
payment providers;
trusted people helping us deliver an event;
professional advisers, such as accountants or insurers;
emergency services or healthcare professionals where necessary for safety;
and legal, regulatory or government bodies where required.
We do not sell your personal information. Some providers may process information outside the UK. Where this happens, we will ensure that appropriate safeguards are in place as required by data protection law.
How long we keep your information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected. Retention periods depend on the type of information and may be affected by legal, accounting, safety, insurance or complaint-handling requirements. When information is no longer needed, we securely delete it or anonymise it.
Webforms
When you submit information through a website or Microsoft webform, we collect the information requested so that we can respond to your enquiry, manage your request or provide the service you have asked about. We will only ask for information that is relevant to the purpose of the form. Please avoid including health or other sensitive information in a general enquiry or feedback form unless the form specifically asks for it.
Your rights
Depending on the circumstances, you may have the right to:
ask for a copy of your personal information;
ask us to correct inaccurate information;
ask us to delete or restrict the use of your information;
object to certain processing;
withdraw consent where we rely on consent;
and request your information in a portable format in certain circumstances.
